Letter of Interest or Job Application

Letters of interest are written to express your interest in working for a particular company in a specific field. How to make your letter stand out from the crowd that can impress your reader. Take note that your job application is written in a very formal, precise and to-the-point fashion. A biodata is enclosed to help the applicant focus on her/his qualifications and skills.

While the forwarding letter means covering letter has the same format as an official letter, a biodata or curriculum vitae is written in a standardized format.

(a) A short introduction stating whether the writer is answering an advertisement or is applying on his own responsibility.
Your letter may be written either in response to a job opening or just to investigate possible employment.
(b) A statement of his age, education and experience.
(c) A conclusion giving references, testimonials, or an expression of the applicant's earnestness of purpose.
A letter applying for employment consists of these two things:
1) Cover Letter
2) Bio-Data

1. Cover letter-

→ Introduction

→ reference of the advertisement given (visual cue)
E.g. With reference to your advertisement published in the Hindustan Times, dated January 28, 20xx, for the posts of Marketing Executives, Accountants etc.

→ any relevant reason of applying for the job e.g. -have recently shifted to place and have been looking for a suitable opportunity,

→ any relevant qualities that make the candidate suitable for the job—e.g., sincerity
e.g. I have also taken a course in type-writing and book-keeping.
My academic qualifications, teaching skills, experience and a dynamic personality make me a suitable candidate for the same.

→ a record of great rapport with the students/organisations etc. (any other relevant)

2. Bio-data-

Bio-data should include –name, father’s name, date of birth, qualifications, experience, sex, marital status, nationality, contact address and telephone number, email id, and most importantly two References.

Application for a Job with Bio-Data in CBSE Question Paper

In CBSE, question on Job Application with Bio-Data is asked for five marks. These five marks are further bifurcated into three parts. These are Content -2 Expression-2 Accuracy -1.

You have the option to choose between the two. Another option is Letter to the Editor. In 2022-23, in Letter Writing, two types of letters are going to be asked in class 12 with internal choice either one can go for Letter to the Editor or Application for a Job with Bio-Data. In Haryana board also, question is asked in class 12 for five marks. Similarly, in both CBSE and HBSE board, questions are asked on Letter Writing in class 9 to 12.

Here, we give you examples of Job Application.

FORMAT: Job Application should be in the form of Business Letters.

1. Sender's Address at the top LEFT-HAND CORNER

In the guidelines evolved by the CBSE in recent years, the sender's address has been preferred on the top left-hand corner. Continuing with the latest trends in Letter writing and the specimen format issued by the CBSE, the commas and full stops at the end of the lines are omitted.

2. The Date

Always write the date below the sender's address. The students can choose any of the following ways of writing the date.
(1) 10 March 2019
(2) 10 March, 2019
(3) 10th March, 2019
(4) March 10, 2019
Unless mentioned in the question, students should write the same date on which they are taking the examination.

3. The Name, Designation and Address of the Addressee

In Job Application, the Name and Designation of the addressee is written on the left margin, two lines below the line of the date.
The Sales Manager
Hindustan Machine Tools
Parliament Street
New Delhi

4. Subject of the letter:

Write the main purpose of the letter in one line. It must convey the matter for which you are writing the letter.

5. The Salutation

The usual form of salutation in Job application is as follows.
Sir or Dear Sir for individuals such as Manager, Director (may be officials or business executives)
Sirs or Dear Sirs or Messrs. for firms or companies (Not individual)
Madam is used when the letter is addressed to a lady.

6. The Body/Content of the Letter

Job Application demands brevity and formal treatment. It should be to the point and confined to the specific issues. There is no place for unnecessary and superfluous details in it.

Body of the Letter should include:

Introductory paragraph with the reason you are interested in pursuing employment with this company. Try not to start the first sentence with “I”. Also, explain what prompted your inquiry, such as a classified advertisement, a media article or interview, or a referral from an employee.

Example:
Your recent advertisement in the Indian Express made it clear that customer satisfaction is an integral part of SQL Company. In addition, my close friend, Amit Verma who is an employee at SQL Company suggested that my special talents might benefit your customer service department.

Second paragraph gives specific examples of your qualifications. Don’t hesitate to indicate the reasons why you would be an asset to the company. Illustrate your skills, strengths, and achievements in a professional, yet personable way. Stay away from strings of abbreviated credentials. These, if you have them, should be on the resume you’ll enclose with the letter. Direct the reader to your resume and any other enclosures.

In final paragraph, thank the individual for his/her time in considering you as a new employee.
Keep your letter short, no more than a single page. Remember to check it thoroughly for errors in spelling, grammar and to be sure it addresses each point you wanted to mention in it.

Generally, Job Application close with the following complimentary endings:

7. The Complimentary Close

If a personal name is used in the salutation, the complimentary close can be:
(i) Yours faithfully
(ii) Yours truly
(iii) Yours sincerely

8. Signature

A Job Application requires your full signature with the name coming just below it. For example:
(Write name again if sign is not clear)

1. Sender’s address: First you need to write the address and contact details of the sender.
2. Date: Now, below the sender’s address, leave a space or line and then write the date.
3. Receiving Editor’s address: Here you need to write the recipient of the mail i.e. where you are applying.

7. Complimentary Closing: You can conclude the letter using Thanks / Thank You & Regards.
